How to Engage with OptimaHR: A Human-First Approach to Custom HR Solutions

We know that a great HR partnership starts with the right fit. Whether you’re a small business looking for foundational HR support or a growing company needing strategic guidance, our priority is always the same: understand your needs and build solutions around them. Our human-first approach is what makes our Fractional HR services so impactful for small to medium-sized businesses across Canada.

If you’re wondering how to get started with us, here’s a look at what engaging with OptimaHR really looks like.

Step 1: Start with a Real Conversation

We believe in meeting clients where they are—literally and figuratively. Our first step is always to connect and talk. No rigid forms, no automated intake processes—just a conversation about your business goals, your current challenges, and what kind of support you’re looking for.

Whether you already have a clear idea of the deliverables you need, or you’re just starting to explore what HR support could look like, we’re here to listen. This initial discovery session allows us to determine if we’re the right match—and if we are, we move forward with a clear, tailored plan.

Step 2: Receive a Customized Proposal

Once we understand your goals, we build a proposal that’s aligned with your business and your team’s reality. This isn’t a cookie-cutter template. It’s a curated set of recommendations and deliverables based on what we’ve heard in our conversations with you.

You might need:

  • HR compliance and policy updates
  • Leadership coaching and team development
  • Recruitment and onboarding structure
  • Employee experience and engagement strategy
  • Long-term HR planning or short-term project work

No matter your need, our proposal is designed to help you feel confident in our ability to support you—and to show how we’ll get there, step by step.

Step 3: Build a Flexible Road Map

With the proposal approved, we create a strategic road map for execution. This includes clear timelines, priorities, and responsibilities—designed to meet you where you are. Some clients are ready to move quickly; others have limited availability, which may affect how quickly we work together. Either way, we adapt.

That flexibility is what makes Fractional HR such a valuable solution. Maybe you need 40 hours a month. Maybe you only need 10. We’re here to fit your timeline, not the other way around.

Step 4: Experience HR Support That’s Actually Supportive

At every stage, our goal is to provide you with peace of mind. You’re trusting us to support your people and strengthen your business—that’s not something we take lightly. Whether we’re helping with leadership development, building systems for scale, or improving employee engagement, you can count on us to deliver with care, clarity, and consistency.

Because at the end of the day, HR is about people. And we’re here to support yours.

Ready to connect? Let’s build your HR strategy—your way.

At OptimaHR, we offer flexible, fractional HR solutions that are built around your business, your people, and your goals. Reach out to schedule your first discovery conversation. No pressure—just possibilities.

At OptimaHR, we love to meet our clients, that’s first and foremost our priority. Having the right fit between OptimaHR and a partner is really important for success. If we understand that a client needs a certain deliverable, we want to know exactly what it is. So first things first when engaging, we meet up we have a chat about some of their goals and then from there we would just create a proposal we would create some recommendations that we can assure our partner that we’re able to give them the deliverables they need to make those strategic decisions. From there, we create a road map and sometimes a client doesn’t have a lot of time for us, that will directly impact their timeline with us, and that’s OK, it’s something that OptimaHR is really excited to do. We want to curate proposals that make sense for our client, sometimes that’s 40 hours a month, and sometimes it’s 10 hours a month. At the end of the day we want to make sure that out client feels secure in our abilities to deliver what they need at their time frame.
